We’re excited to announce an automation feature in Hubly that expands your workflow possibilities. With our latest update, you can now use a "Task Completed" event as a trigger in our Zapier integration. This means that whenever a task is marked as complete in Hubly, you can set up automated actions across your tech stack—opening up unlimited options for streamlining your processes.

Below, we’ll cover common use cases for this feature, along with best practices and a step-by-step guide for setting it up.

Step 1. Choose The "Trigger Task"

Here are a few use-cases ideas for common completed tasks that can be used to trigger

When Task "Send Paperwork to Client" is Completed

In a "New Account Opening" workflow, completing this task can automatically send an email or a document signing link to your client.

When Task "Follow-Up Next Week" is Completed

Follow-up tasks are common across workflows. Use this completion event to trigger an email reminder for next week, schedule a follow-up calendar invite, or even set up a reminder in Slack or Microsoft Teams.

When Task "Email Meeting Request with Scheduling Link" is Completed

Instead of manually sending meeting links, you can set up this task to automatically email your client with a scheduling link (like Calendly), eliminating repetitive administrative work.

When Task "Send Follow-Up Email" is Completed

This task appears throughout Hubly workflows. Use it to trigger an automated follow-up email in workflows such as prospecting.

When Task "Introductory Call Scheduled" is Completed

Common in prospecting workflows, this task completion can trigger the creation of an opportunity in your CRM or update a spreadsheet to track pipeline volume.

Step 2. Setup a Filter Condition

To ensure the automation only triggers for a specific task, set up a filter condition in Zapier using "Filter by Zapier." For example, if you want to trigger an action based on the "Send Paperwork to Client" task, add this task name as a condition in Zapier. Learn more about using filters in Zapier here.

Step 3. Choose Action Event In Other Technology

After setting up the filter, choose the action you want to trigger in your other tools. For example, you might send a document template through your electronic signature platform, such as DocuSign or SignNow.
