Hubly 102: Understanding Streams, Tags, & Automations

How streams and tags can help you categorize your clients and create time-saving automations with task conditions and workflow rules

Streams make it easy to segment your contacts by their needs or services that are needed and Tags help you stay on top of important attributes such as client accounts, products, assets, fee-level, etc.

Investing the time to properly segment your client list will help you and your team stay on the same page β€” especially as every client's needs and circumstances evolve over time.

Configuring Streams & Tags

Located at the top-right of your Hub, the managers for Tags and Streams let you review and segment all of the clients that you work with.

Hubly syncs your existing client tags when connected to a CRM and comes preconfigured with a number of service streams that help you coordinate the delivery of highly personalized, comprehensive service.

Adding Your Clients

Clients can be added by selecting a tag or a stream from their dropdowns and using the Add Client button.

Streams and Tags can also be configured directly from the Client Card, start by using the Find A Client menu at the top of your Hub to search for and find a client.

Finding a client is easy in Hubly using the Find a client menu

Streams are located along the top of the client card, to the right of the client's name and household information:

And tags are at the bottom right corner, underneath their workflows, important dates, and contact information:

Select the circle + Add button to find an existing stream/tag, or simply type the name of a new segment and select + Create from the search field to make a new one.

Reviewing and updating streams and tags regularly is important to keep them up to date for every client.

Quick Note: We recommend regularly reviewing and updating streams and tags as a part of your review meeting follow-up and new prospect meeting workflows.

Getting The Most Out Of Streams & Tags

Streams make it easy to categorize your book of business and track which services are needed by each client at a glance. Streams display as colored circles next to the client's name on a client tile, and as full-size colored rectangles at the top of a client card.

Streams and tags make it easy to quickly filter the workflows displayed in your Hub and focus on the clients that need your attention today.

Saving Time With Streams & Tags

You can search for streams and tags to add an entire segment of clients into a specific workflow via the + Add Client(s) menu.

You can also build workflow rules to perform these actions for you, looking for and adding clients with a specific stream and/or tag to a workflow at specified times of the year or following specific life milestones.

Repeating Rules

Repeating rules can be set to add clients once on a date or at specific calendar intervals throughout the year to help you manage your check-in/review cycle.

Client Date Rules

Rules can also be set around specific client dates such as birthdays, anniversaries, meeting dates, and other custom dates β€” adding clients with a specific stream and/or tag combination to a workflow a set number of days, weeks, months or even years before, on, or after.

Age-Based Rules

Staying pro-active has never been easier with age-based automation rules that can be added to any workflow and will add clients before, on, or after a specific birthday.

Categorization Rules

Rules can be configured to add or remove streams for you when a client is added to, completes, or is deleted/archived from a workflow.

Workflow rules can be combined to help make your workflows smarter than ever before.

Excluding Client Segments

Exclusions can be configured for any automation rule, making it easier than ever to add just the clients that need to be serviced when they need to be serviced.

Getting Started

It is important to keep client dates, streams, and tags up-to-date for every client so that your team can take full advantage of these features and save time.

We recommend including the following tasks/rules in the following workflows:

Client Check-In Scheduling Workflow

  • Task: Update next meeting date in the client card

Client Check-In Preparation Workflow

  • Task: Review client's streams & tags to ensure services & products/details are up-to-date

  • Task: Review important dates to ensure IPS, fee and privacy offerings are compliant

Client Check-In Follow Up Workflow

  • Task: Review streams & tags and update to reflect current needs (for all members of the household, if applicable)

Opt-In Workflows

(ie. Tax Planning, Estate Planning, Insurance, RMDs, and Mortgage Reviews)

  • Rule: Add [Stream] when client completes this workflow

  • Task: Select archive from workflow for clients that do not opt-in

Prospect/Initial Meeting Follow-Up Workflow

  • Task: Update streams & tags to match prospect's service interests and needs

  • Task: Update next meeting date in Hubly (if scheduled)
