How to Make The Most of Hubly & Redtail

To ensure a seamless and efficient integration with Hubly, there are several helpful steps your firm can take in advance. Hubly's integration with Redtail empowers you to sync tag categories, contact statuses, assigned advisors, and important dates with your Hubly Client Cards. We have prepared some recommendations to optimize each element before diving into your Hubly experience.

Manage Tag Categories:

  • If your firm employs household-level tags, take some time to transition to individual-level tagging for improved client servicing and automation.

    • While many firms primarily manage households collectively, Hubly's flexibility empowers you to focus on individual milestones and tasks, while maintaining a household perspective.

  • Evaluate Your Tags

    • Export your tag data and review its application. Ensure that each tag aligns accurately with its intended purpose. For instance, if you classify clients based on tiers, verify that each client bears the appropriate tier-related tag.

      • Are there any obsolete or insignificant tags? Take this opportunity to declutter and remove redundant categories.

    • Introduce an "Active Client" Tag

      • Simplify your onboarding by bulk-uploading the "Active Client" tag to all individual active clients.

    • Create a Tag Key

      • Compile a comprehensive list of your firm's tags, accompanied by their intended use. This resource serves as a valuable tool for training new team members, retaining the rationale behind each tag, and aiding Hubly's comprehension of tag objectives.

Review Contact Status:

By using Redtail's Contact Status feature, you can refine your contact imports for different types with a few clicks.

  • Ensure every contact is distinctly identified through their status. In the event of too many status types or vague "non-specified" statuses, conduct a thorough review of your contact list. Confirm that all clients are appropriately labeled.

    • This practice empowers you to curate your Hubly service focus. For instance, you can exclude vendors from the import, maintaining a Client Card solely for active profiles.

Assign Advisor & Service Teams:

If your firm has multiple advisors or operates within a team-based framework, using Redtail's assigned advisor field offers the advantage of automatic client-advisor alignment in Hubly.

  • Redtail's Assigned Advisor field encompasses various roles.

    • Advisor

    • Associate Advisor

    • CSA (Client Service Associate)

    • Servicing Advisor

    • Writing Advisor

Once configured in Redtail, these fields initiate automatic population of your Service Teams within Hubly. This approach aligns your workflows with your firm's roles rather than individual users. This allows seamless onboarding of new employees, enabling Hubly to provide them work based off their role as soon as they log in the first time.

Leverage Important Client Dates:

Two pivotal dates—client birthdays and anniversary dates—integrate from Redtail to Hubly.

  • Verify that client birthdates are already documented across your client base. Review and confirm the accuracy of birthdate entries within the appropriate Redtail field.

  • The anniversary date transferred from Redtail serves dual purposes:

    • It can signify the client's onboarding anniversary with your firm.

    • Alternatively, it can denote the household-specific anniversary relevant to your client's engagement.

By effectively managing these essential dates, you improve the detail and depth of automation within your Hub.
