Sync meeting data from Redtail & Wealthbox with Hubly to automate workflows, track meetings, and gain client insights.

Below, you’ll learn more about our new CRM integration feature available for Redtail and Wealthbox, including how to enable meeting sync, set up automations, and leverage insights from client meeting data.

1. Enable CRM Meeting Dates Sync

To get started, navigate to Integration Settings in your Hub Settings. Here, you can toggle the Meeting Dates Sync to "on."

Once enabled, you’ll be able to edit imported meeting types and choose which ones Hubly should sync. After configuring your preferences, Hubly will automatically sync with your CRM. Depending on the volume of meeting data, this process may take between 2-10 minutes. Once complete, meeting data will appear on the relevant client cards.

After the sync, our bi-directional meeting sync integration ensures that any new meeting dates added in your CRM will sync with Hubly—and vice versa.

To add meetings in Hubly, simply click Add Meeting in a client card, complete the meeting information, and you’ll see the sync status reflected in your CRM.

Frequently Asked Questions (FAQs)

What happens to my existing meeting dates and types after I enable the sync?

Existing meeting types in your Hubly account will be matched by name with types pulled from your CRM. Similarly, existing meeting dates will be matched by their type, date, and linked client with the dates pulled from your CRM.

Meeting types that can't be matched will continue to exist in Hubly, as well as the meeting dates associated with the type. However, you won't be able to see these records anymore.

Can I create new meeting types in Hubly?

No, you cannot create, edit, or delete meeting types directly in Hubly. All changes must be made in your CRM and then synced back to Hubly.

Does the integration support recurring meetings?

Currently, the integration does not support recurring meetings. Recurring meetings in your CRM will appear in Hubly only once, on their original start date.

Does the integration support limited visibility for meeting dates?

No, unlike CRM contact permissions, all meeting dates are visible in Hubly to users who have access to the associated contact.

How often meetings are synced to Hubly?

All meetings are automatically updated every night at 2 AM EST, client's meetings are also synced when a client card is opened.

2. Setting Up Automations with Meeting Data

You can leverage synced meeting dates with Hubly’s Important Client Date Rules to improve prospecting, onboarding, and client check-in workflows. Configure automation rules to populate clients on, before, or after a specific meeting date, enabling more efficient planning and follow-up.

Be sure to update your existing automation rules to take advantage of the new meeting date types in your workflows.

3. Insight Dashboards for Client Meetings

Hubly’s Client Meeting Dashboards provide insights to help you and your team stay on top of client communications. These dashboards allow you to:

  • Forecast busy seasons and plan accordingly

  • Identify potential gaps in client communication

  • Ensure compliance by monitoring contact frequency with clients

Hubly offers three dashboards to help you analyze client meeting data:

Client Meetings Overview

This dashboard gives a snapshot of the total number of meetings scheduled over a specified period, along with a breakdown of unique clients or households involved. It also categorizes meeting types, helping you understand trends (e.g., more client meetings than introductory calls)

It also displays a summary of the type of each meeting scheduled. This can help your firm understand if you’re doing, for example, way more client meetings than introductory calls over a certain period of time:

A bar graph visualization displays meetings scheduled or completed during a particular time frame. This is helpful for forecasting trends, such as a spike in meetings at the end of March due to tax season.

All Client Meetings

This dashboard provides a list view of all meetings associated with households or clients, offering a different visualization compared to the overview. It’s especially useful for tracking how often you’ve met with a particular client over time.

Clients with No Meetings

This dashboard highlights clients who have no meeting dates on record, helping you identify potential communication gaps. This tool is critical for maintaining compliance by ensuring consistent client interaction.

For instance, if your firm aims to meet with each client twice a year or quarterly, this dashboard can help you filter clients who haven’t had a meeting yet. As a quarter ends, filtering by Meeting Date = "this quarter or is null" will show clients who haven’t had a meeting yet, helping you meet your engagement goals.

Similarly, as the year closes, this dashboard can help you identify clients you haven’t met with yet, ensuring compliance and maintaining client communication standards.

This update to Hubly streamlines the process of syncing CRM meeting data, making it easier to manage client relationships and improve workflow efficiency.
