Set Yourself Up for Success with Hubly & Redtail
To ensure a seamless and efficient integration with Hubly, there are several helpful steps your firm can take. Hubly's integration with Redtail empowers you to sync tag groups, meeting dates, assigned roles, and other important dates with your Hubly Client Cards. We have prepared some recommendations to optimize each of these synced fields.
Tag Groups:
Keeping your tag groups in the CRM up to date is essential for maintaining clean, accurate, and actionable data. Tags are the foundation of how we organize contacts, track engagement, and segment for reporting or outreach. With the addition of Hubly, now is the perfect opportunity to audit your tags and confirm they still align with your processes.
Audit and Clean Up Your Tags
Ensure that each tag has an intended purpose.
Review all tags associated with each client to make sure they are current. For instance, if you classify clients based on tiers, each client should have a tier tag.
Remove any obsolete or insignificant tags
Create an "Active Client" Tag
Hubly does not sync contact status like "Active Client" or "Prospect", rather Hubly relies on tag groups for these status distinctions. It is a good practice when getting started with Hubly to create a new tag for "Active Client" if you don't already have one. See Redtail Instructions for bulk-tagging here.
Consider New Tags
With Hubly, you are going to have more automation power at your disposal. Consider creating new tags for client segments that could benefit from special reminders, workflows, service models. Examples: RMD Clients, InheritedIRA Clients, Billable Clients, Insurance Clients, etc.
Imported Contact Sync:
While Hubly does not specifically utilize contact status, we do allow you to select which contact status types you want synced with Hubly. This is very helpful for firms with large contact databases, or firms who have a large number of status types that do not need to be pulled in to Hubly. Examples: Retired books of business, wholesalers, cold leads, terminated clients, etc.
You can select which status types you want synced in your Hub Settings > Integration Settings. Select the Contacts Tab and click the blue, "Edit Imported Status" button to make your selections. See this help article for more info.
Meeting Date Sync:
In the same Integration Settings page, you have the option of turning on Meeting Date Sync with Redtail. This functionality allows you to select which Meeting/Activity Types you want to sync with Hubly. It is important to note that the only meeting dates that are able to be synced are those that are tied to Redtail Activities.
If you are tracking Client Review Meeting dates in the Know Your Client, Client Review Date section, those dates will not flow into Hubly. Many customers wish to automate this process in Hubly. In order to do so, we will need Meeting Dates in Activities. The best way to get the meeting data into Redtail and Hubly is to do a csv upload into Redtail. Instructions for how to do that can be found here. Hubly Tip: the meeting data can be exported from Calendly, outlook or other systems, or created manually in excel or google sheets. Ultimately, we just need the data for the clients' last reviews and we can work with you to automate the process moving forward.
Another Hubly tip when it comes to meeting data. All meetings should not be treated the same. A client review is different from an initial prospect meeting, which is different from an onboarding meeting. If you are using a meeting scheduling tool like Calendly, you probably have more than one type of meeting. Your CRM data should match what you have in your Calendering tool so these unique meetings can be tracked and automated accordingly. To create custom meeting types in Redtail, you will navigate to Manage Database Lists > Activities & Notes > Activity Types > Add New Meeting Categories.
Assign Roles for Advisor & Service Teams:
If your firm has multiple advisors or operates within a team-based framework, you may be utilizing Redtail's roles functionality. The Redtail roles stated below, can be synced with Hubly's Service Team feature to dynamically create your roles and teams structure in Hubly.
Advisor
Associate Advisor
CSA (Client Service Associate)
Servicing Advisor
Writing Advisor

Leverage Important Client Dates:
There are two other important dates—client birthdays and anniversary dates—that sync from Redtail to Hubly.
Verify that client birthdates are already documented across your client base. You can run a report to see if you are missing any.
Firms use the anniversary date differently:
If you are using this field to document you client anniversary (to track how long they have been a client), Hubly can help you automate outreach to clients on this date.
Alternatively, if this is tracking marital or relationship anniversary, you may set up a different type of outreach for milestone anniversaries.
By documenting these essential dates, and leveraging Hubly's automation rules, you can improve your client outreach, and let clients know how much you appreciate them.
